o The admissions office is in charge of recruitment work and high schools, college fairs, business and industry.
o At this time we’re very involved in the access initiative as well.

o COTC has sponsored two of the candles.
• 5 Digit Dialing: Kasia Wilson
o There are three main causes as to why we don’t like change.
We don’t know why the change is happening.
• Why are we changing this? We are out of phone numbers.
We don’t have the information; ‘What if?’
• What is going to happen- On Friday, December 18th at 6:00 pm, the phone system will go down.
o The security number, extension 237, will remain available during this time.
• On Monday morning, the phones will be back up. You will need to dial the 5-digits.
• For instance. The helpdesk is 366-9244. You now would dial 69244 instead of 244.
• Communication to faculty will be going out soon.
• There will be an updated phone directory distributed to mailboxes in the services center.
• There will also be a flyer with information about this process distributed to mailboxes in the services center.
• Voicemail and Express messaging will be changing too.
• Extended campuses will still be reached the same way.
• The change is ONLY the way we dial on campus. The direct-dial numbers will not be different.
The change is not usually introduced by oneself.
• Be sure to have the phone list readily available on your desk
• It might be a good idea to note your own frequently dialed numbers and post it somewhere on your desk as a handy reference.
• Howard Imhof also recognized Becky Smith for the tremendous amount of work she put into the updated phone list.
• Corri Edwards solicited ideas from attendees about ideas for guest speakers. If anyone things of anything, please email any of the staff forum officers (Corri Edwards, Jasmin Hennosy or Julie Ketner).

• Your Plan for Health is divided into two parts
o Personal Health Assessment (PHA) for $20 reduction in monthly cost for benefits
o Incentive Point program. You can earn up to 125 points, worth one dollar each, for a possible payout of up to $125.
• For trouble with your PIN number, email Sherry Abbott so she can facilitate getting you connected with the Columbus contact.
• There will a contact coming to the Newark campus around the spring to talk about updates to the Your Plan for Health program.
• If you haven’t already seen the new website for HR employment, please check it out.
Information Technology Services: Jeff Crabtree
• ITS is working on updating asset records. There will be people checking NCCC numbers on equipment around campus.
• There are 125 refreshes for the Winter quarter.
• There is an open position for Systems Specialist. The hiring process is in progress.
• Helpdesk hours will change for the break:
o Open 7:30-7:00 pm Monday through Thursday.
o December 21st and 23rd , the Helpdesk will close at 5:00 pm.
• The first floor of LeFevre will be rewired the week of 12/13-12/18.
• Both COTC and OSU will be converting to semesters during the summer of 2012.
• The campus will move to Windows 7 in the spring or summer.
• The telCenter hours will remain the same other than the days the campus is closed.
Library: Tauni Graham
• The library has digital cameras and camcorders that are available to check out for a week.
Marketing: Suzanne Bressoud
• The office maintains a calendar of events that are open to the community
• Commencement is December 11th.

• Door decoration judging will take place tomorrow.
• The door winners will be announced next week at the Potluck on Wednesday, 12/16 at 11:30. Faculty, staff and student employees are welcome. Bring a dish to share or a $5 donation.

• There will be a brown bag lunch and games in January.
• Pedometer challenge will begin for the winter quarter.

• The Gateway manages students from when they are first interested in COTC all the way through graduation.
• Gateway update- this autumn 4,341 students enrolled, a record.

o Record high enrollment (by 10 students)
o In February, applications were down at all campuses and regional campuses were dramatically down.
o The numbers of Newark students moving to the Columbus campus in their second year is increasing.

• There will be many refreshes over the Winter Break for classrooms, labs and faculty computers. There will be a list published of computers that will be refreshed. See the web site in the next few weeks for the refresh list.
• There will be updates for the policies and procedures and manuals over the next few months.
• The technician position will be filled soon.
• Windows 7 will be rolled out as soon as possible.

• COTC received two Gold Medallion awards from the National Council for Marketing & Public Relations (NCMPR). One each for the poster/overview and COTC Viewbook. And a Bronze Medallion award for the Knox Capital Campaign press conference program.
• Thanks to Leslie Lenzo McLaughlin for her graphic design work
• Leslie’s title is now Senior Graphic Designer because of her more than 20 years of experience in the field, 10 of those being here at this campus.
• December 4 is the Holiday Celebration and Santa Visit
o This event is campus-wide and open to the public.
• Friday December 18th from 3-5 is the Holiday Open House for campus faculty and staff only. This celebration for employees takes place in the Reese Center.
• Winter Commencement is Friday, December 11 at 6:30 pm, also in the Reese Center.
• Stop by the Marketing office to see the NCMPR medallion awards.

• Check expiration date on parking permit. If you get a ticket in Columbus for an expired ticket, there is nothing they can do.
• Security has guest permits if you don’t have an ‘A’ or ‘B’ tag. It is for one day only.

• Autumn employee of the quarter nominations are due on November 30th. The nomination form is available on the staff development web site.
• The holiday door decorating contest will be coming up.
• Holiday potluck will be December 16th from 11:00-1:00. This is where the door decorating contest winners will be announced.

• Annual intercultural series begins today in W175 at 12:30.
• Next week is beat Michigan Week with piñatas, t-shirts, buckeye necklaces and more.

Jamie White- As winter quarter is approaching, it is a good time to remind everyone that all OSU Newark class cancellations are listed online. It is the quickest way to access the cancellations instead of calling the front counter. The Class Cancellations link is in the drop-down box under Current Students.

• Vista Volunteers and Access Initiative: Katey Borland & Tara Houdeshell
o Last January OSU Newark and COTC applied to have AmeriCorps Vista come to campus to work on access initiatives.
o Jena Pugh works with Tara at COTC
o Katie Rappaport works with Katey at OSU
o Denison, COTC and OSUN are all teaming together to work on access initiatives
o Access Initiatives are designed to make post secondary education possible for youth regardless of
o Access- 4 points:
Awareness- Make sure Licking County knows that we are here
Aspiration- Work with youth to encourage them to aspire to attend college
Preparedness—Taking the right academic courses to be ready for college-level work
Financing- Make it affordable and give understanding of financial aid and saving for college
o Newark City School system is the third in the state for the lowest graduation rate
o High poverty levels in Licking County
o Over half of the Newark City Schools students that go to college after high school are first generation students.
o Five institutions have formed partnership in a program called “Can Do Access”
o PEAK program- elementary/middle school
College aspiration, Reading Literacy
LeFevre students work along with this program.
o Another program called “Blueprint College” & “College Camp”
Financial programs designed educate parents (Blueprint) about saving for college. The students will learn about aspects of college in College Camp.
o Big Brothers Big Sisters
1 hour per week commitment
Fun, easy way to get involved in the community

o It is the time of year for United Way fundraising.

o Good news, as of Monday 2459 paid students which surpasses the expectations.

o Primarily focused on COTC students that are looking to continue on to a Bachelor’s degree.

• Most Fall quarter projects are completed. If ITS was working on something for you and it’s still not done, please give a gentle poke.
• First call resolution rate has greatly increased this year:
o Last year 1095, 56% first call resolution rates.
o This year 1911, 78% first call resolution rates.
• Thanks to the helpdesk staff for doing a great job this year
• The main focus will be computer refresh
o If you think you’re due, call the help desk to make sure that you’re on the list.
• Question: what is the process with receiving email confirmations of tickets?
o Right now not all tickets/confirmation are emailed to the customer.
o If you don’t get the message, it does not mean that your ticket was lost, it just means that it didn’t get emailed.
• The websites are up and running
• There will be trainings on how to update your web page
• The IT professional development calendar will be published this week
o There will be some new items: Outlook, Microsoft Word 2007,
o If you’re interested in Excel and other programs we can do this, but we need to know.

o Part of the application package will be a letter of recommendation form from a faculty or staff member.

o Newark City School system is the third in the state for the lowest graduation rate
o High poverty levels in Licking County
o Over half of the Newark City Schools students that go to college after high school are first generation students.
o Five institutions have formed partnership in a program called “Can Do Access”
o PEAK program- elementary/middle school
College aspiration, Reading Literacy
LeFevre students work along with this program.
o Another program called “Blueprint College” & “College Camp”
Financial programs designed educate parents (Blueprint) about saving for college. The students will learn about aspects of college in College Camp.
o Big Brothers Big Sisters

• Most Fall quarter projects are completed. If ITS was working on something for you and it’s still not done, please give a gentle poke.
• First call resolution rate has greatly increased this year:
o Last year 1095, 56% first call resolution rates.
o This year 1911, 78% first call resolution rates.
• Thanks to the helpdesk staff for doing a great job this year
• The main focus will be computer refresh
o If you think you’re due, call the help desk to make sure that you’re on the list.
• Question: what is the process with receiving email confirmations of tickets?
o Right now not all tickets/confirmation are emailed to the customer.
o If you don’t get the message, it does not mean that your ticket was lost, it just means that it didn’t get emailed.
• The websites are up and running
• There will be trainings on how to update your web page
• The IT professional development calendar will be published this week
o There will be some new items: Outlook, Microsoft Word 2007,

o We will be participating in the “Lunch Buddies” program.
§ 1 hour per week with the permission of your supervisor to spend 30-45 minutes with a student that needs mentoring.
· Could be reading, going outside to play four-square.
o There will be Big Brothers and Big Sisters representatives on campus to talk about this program on October 6 and 7.
o Children will be 1st – 5th grade.
o It is incredibly important to understand that this is a commitment and it is very important to be there for the child every week.
o Keep an eye out for a campus-wide email about this opportunity.
· Earthworks: Sheila Carpenter
o The earthworks center is in Baker House across the street from the campus.
o There are many events coming up.
§ 70 mile walk from Chillicothe to the Earthworks
§ Newark Earthworks Day will be October 17
· Speakers will include Chief Glenna Wallace, Dr. Lindsay Jones, Dr. Bradley Lepper, Dr. William Romain, and Vincent Stanzione
§ Harvest fest on September 26. Indigenous garden will be shown
§ Art show in the LeFevre gallery
o The earthworks here in town are two very large geometrical structures built by ancient people.
o Because of the budget cuts, the Earthworks Center is adopting some of the responsibilities that the Ohio Historical Society used to handle. Because of this, there are five new employees at the earthworks center.
· OSU Advising and Admissions: Mark Fegley
o There is a new VISTA volunteer who is working with OSU, A call to College, COTC, Denison and Newark City Schools on Access Initiative.
o There are two new initiatives with COTC, Denison and Licking Valley High School
§ There is to be a teacher in-service day to train teachers to be “college mentors” on Friday, September 18 at Denison university in the Morning and here on campus in the afternoon.
§ A FAFSA Forecaster pilot with COTC, Denison and Licking Valley juniors (and possibly younger) will give families and idea of their potential aid packages.
o It is a challenging time of year for the OSU Advising and Admissions office as they are still working hard to bring in the class of 2009 and the beginning of recruitment for the 2010 class has already begun. Registrations for 2009 are on target for budget projection. We are working closely with Advising, Fees and Deposits, and Financial Aid to make sure students can pay their fees on time.
o Regional campus marketing campaign was successful in bringing more applications to the regional campuses. There will be more campaigns like this in the future.

· COTC Alumni Council has decided to split the Outstanding Alumni Award into two. There will also be a Transitions Award.
· Transitions Award will be for COTC alumni Faculty and staff, who have made the transition from student to partner in career development, making a difference in the lives of current students.
· Please make nominations for this award that will be given out in December.

· Norm Holmes introduced Mike Neff, the new director of Safety and Security.
· Mike Neff reported that the parking lots are being worked on.
· Safety and Security is working on a new web site.
· The phone system will be updated soon.
o The menu will be changing
o Eventually the radio system will be phased out
o The 300 extension will be phased out, too. You can call 237
· Rick Nelson reported several project announcements and updates.
o New classrooms in Founders Hall are finished and will be online for Fall quarter
o Entergy efficient light-harvesting
o Multi-media equipped
o Drilling in Founders will be finished next week
o Hopewell hall roof is being worked on
o Construction: Phase 1 will begin July 2010
o Gateway in Pataskala has been renovated. There are three new classrooms
o New sidewalk will be created between the Reese patio and Lefevre
o Continuing to increase signs on campus
· Jim Woolard reported that with the new opening of the classrooms, there will be up to 260 students at any point in the day in Founders Hall.

· Currently in implementation phase for online tracking system for COTC job applicants which should be implemented by the end of the year.
ITS: Howard Imhof
· This is one of the busiest times of the year for ITS.
· Refreshing systems, implementing new software, outfitting new classes with multi-media capabilities.
· The new websites will be in production next weekend. There have been 60-70 individuals migrating information from the old site into the new ones. There has been a phenomenal effort across campus to get this in motion.
o Phase 2 and 3 of this will be establishing a group collaboration capability using Sharepoint. Faculty can use it to collaborate with students
· Status of reorganization is nearing the end. Recent hires includes two new help desk analysts; Jonathan Harper and Brandi Ross. Jonathan has been a help desk analyst for a long time and is now full-time and permanent. Brandi also has been with the help desk as a student employee and is now full-time, permanent. The last hire that is in process will be working with Tim Deaver. Once this person is hired, the reorganization will be finished.
· The goal of ITS is to provide excellent customer service to the campus.
