Staff Forum Minutes for July 9, 2009

• Corri Edwards invited staff to please enjoy the meeting on behalf of the new Staff Forum officers.
• Round of applause for former Staff Forum officers Tara Houdeshell, Jaime White and Heather Grabetz for the great work that they did last year and for their assistance to the current officers.
• Thanks to Art and Dave for the wonderful, handmade box stands for the coffee percolators.
• Introduction of new elected officers for Staff Forum 2009-2010. Vice Chairman, Jasmin Hennosy from Marketing and Public Relations; Secretary, Julie Ketner from ITS; and Chairman, Corri Edwards from ITS.
• Officers looked at the survey results from the Staff Forum survey sent out a few weeks ago. The results showed 5 consistent topics:
o Attendance. We plan to increase by asking each department to have at least one representative present at the Staff Forum. The departments that have the best/perfect attendance will be put in a drawing for a very special prize at the end of the year.
o Meeting Length. Keep the meetings to one hour in length.
o Web Site. A super web site was created last year by last year’s officers. Current officers will continue to update it and also have a new blog where meeting minutes and other resources will be posted.
o Guest Speaker. We will solicit internally for guest speakers to share their knowledge on topics regarding healthy living.
o Fun- The purpose of Staff Forum is to update staff members from all departments of what’s going on in our areas, and we’ll continue to do so by adding an element of surprise at each meeting.
 Trivia Question- Which one of the new staff forum officers missed the last meeting? Correct answers will be put in a drawing for two prizes donated from the marketing department.
 We will also capture “Kodak moments” from each meeting.
• Travis Patrick was recognized for designing the agendas.

Introductions:

Monthly Hosts- Human Resources and Marketing and Public Relations

Human Resources – Sherry Abbott and Patsy Henderson were present.
• Sherry Abbott reported that their office is very busy at this time due to the new fiscal year. There are a lot of requisitions and temporary positions being formed.
• Sherri Gallup from Licking County Extension Office will be providing free skin disease/sun damage screenings for the face/neck area. These screenings take 5 minutes at the most and will be on July 30.
• Jamie Beedle, a transitional work physical therapist, from Integrated Disability will be in Hopewell 64 on August 4 for a lunch and learn session about ergonomics.
• Thanks to the HR staff that brought in breakfast items to the meeting today.
• The Staff and Faculty Benefits Fair will have a circus theme this year. Sherry asks that if anyone has any circus themed items that they would like to donate/loan to HR for this, please let Patsy Henderson or Sherry Abbott know.
• Personnel updates can be found at the end of the Word document minutes on the staff forum web site.

Marketing and Public Relations – Francesca Amigo, Suzanne Bressoud and Jasmin Hennosy were present.
• Alice Hutzel-Bateson is the director of the office and could not be here because of another meeting this morning. Suzanne Bressoud edits the Profiles publication, writes press releases and is now Assistant Director. Leslie McLaughlin is the graphic designer. Jasmin Hennosy is the Marketing Assistant. Francesca is the Public Relations Specialist and maintains “In the Spotlight” on front page of web, publicity for Ohio State Newark, and helps to create YouTube videos. These videos are accessible from the front page of www.newark.osu.edu and everyone should become fans of Ohio State Newark on youtube.com.

New Business:
• Joy Padgett is now in Reese 105.
• Development Office is now in Reese 120, where the B&I office used to be.
• Julie Ketner, is the new eLearning Systems Administrator and is located in Founders 185.

Area Updates:

The Table of Contents: Forrest Shirkey
• Asked if summer hours of operation were okay.
• The hot dog cart is still available outside of Hopewell on Tuesdays and Thursdays.
• New prices have been approved and new menus will be published at the end of August.

Career Services: Derek Thatcher
• Thanked Julie Ketner for her service as Customer Service Representative.
• Introduced Bridget Goggin who is serving in the Customer Service role for the next 2 months. Bridget was a Welcome Desk Attendant and is a graduate student in social work. Thanks to Bridget for her services.

Facilities/Project Manager: No department representative present

Human Resources: Sherry Abbott
• Updates were announced during introduction.

Marketing: Suzanne Bressoud
• Thanked Facilities and Safety and Security for their time and efforts during fireworks. There were over 10,000 people in attendance.

Safety and Security: Norm Holmes
• Thanked MPR (Suzanne) for their efforts because they got the fire department and police to come.

Staff Development: Marilyn Lees
• Brochure is available with the calendar of events. Within the week, all event information is going to be on the web site. It is linked off of the Staff Forum web site.
• The scavenger hunt list will be available at Staff Forum meeting next month before it will officially be e-mailed out. The hunt will run from August 13-20. Check in will be at 11:30 in the gym on August 20. Lunch will be provided. Keep an eye out for this next month.

Information and Technology Services: Corri Edwards
• Corri Edwards reported on behalf of Howard.
• Three of six new positions in ITS have been hired: E-learning Systems Administrator, Manager of IT Support Services, Database Programmer Analyst. Two full time Help Desk positions, PC/Network Administrator will be hired in the near future. Help desk position descriptions are published now, PC/Network Administrator should be in the next 2 weeks.
• Jeff Crabtree is the new Manager of IT Support Services

Student Life/Community Services: Holly Mason
• The Nintendo Wii is available to play in WC126 during the lunch hour on Tuesdays and Thursdays. Please join Student Life and have some fun and relax.
• July 9 will be Guitar Hero and Rock Band. From 10-2 there will be Michael Jackson tributes.
• September 21 will be the 2009 Campus Commitment event. The event will kick off in the Warner Center at 12:30. Casey Ray will need staff and faculty to serve as team leaders to help lead students
• Convocation will be on September 22 at 11:00 a.m. Tony Hall, an Ohio Politician, will serve as the guest speaker for this event.

Open Forum/Discussion:

Corri Edwards thanked the classroom support service folks that helped set this meeting up. Specifically Joe Snow who came and helped out this morning.

Tauni Graham asked that people let her know if they have anything that they think that no one else has for the scavenger hunt.

Sue Bidwell announced that they are getting a new Kodak copy machine in the Services Center. Please get any copy requests in as soon as possible. Copy services will be down for 2 weeks at the end of August because of the process to swap out the machines and for staff to receive training.

Sue also reminded staff to ensure that the paper guides located in the paper trays of copy machines are set properly (they must be against the paper). Not doing so will cause paper jams. Sue also asks that staff not use the document handler for small pieces of paper. For instance, receipts will get jammed and it is then hard to fix.

Sue suggested that if you have a copier in your office, make sure that there is someone in charge of it to make sure that the paper guides are set properly at all times.

Kyle Morgan mentioned that the elevator will be down in Founders Hall at the end of August. Norm Holmes explained that there will be some re-routing of traffic because of it.

Candy Sheradin asks that people email her or Tauni with any scavenger hunt ideas by July 10.

o Guest Speaker- no off-campus people, solicit from within campus for speakers. Request for larger font for the health tips is noted
o Fun- The purpose of this meeting is to update staff for all departments. But also to have FUN. And also to capture Kodak moments.
• Trivia Question- Which one of the new staff forum officers missed the last meeting? Correct answers will be put in a drawing for two prizes donated from the marketing department.
• Corri drew attention to the documents on each of the tables. There is a reusable meeting agenda or “menu”. There were also smaller agendas, “daily special”, with specific new business and submitted agenda items. There are also caddies on the table which have the answer sheets for trivia questions, name tags and lifesavers.
• Travis Patrick was recognized for designing the agendas.
