Staff Forum Minutes: August 12, 2010

·         Personnel updates: see end of minutes for details
·         Benefits Fair – Oct. 21 in the Reese Center; vendors will be present; health screenings; and flu immunization;
·         Patsy: OSU and cost-shared employees: Must have an I-9 on file. Those hired after Nov. 1986 must have an I-9 on record. Patsy will contact those who need to file or re-file an I-9. Deadline is October.
o   Terry: Re: flu shots – will we sign up for that (yes); can spouses take part? (yes)
o   Rose: What is e-verify (federal govt. system that is used to validate info on I-9); what is I-9? (Governmental form to ensure that people are here legally); where does info go, what about identify theft?

New business:
·         Athletics & Club Football – Bret Whitaker
o   Titan Bus – to use the bus, contact Marilyn Lees in Student Life
o   Questions re: varsity, intramural sports; use of rooms/equip in Adena, contact Bret (x69410) Club Football – student organization, started & run by students; not a varsity football team – it is a club like any other club; Sunday Sept. 5 is first game against Denison; will play at Licking Valley HS. For questions, contact Bret who is their advisor.
o   Fundraiser @ BW3 on Monday – discounts available.

·         Services Center - Sue Bidwell
o   Copiers: all are on a maintenance and supply contract – contact services center for toner, paper, and all other copier –related supplies;
o   Using alternate toner could harm copier, which could cancel contract
o   Send callers to Services Center (Sue) or Susan Spurgeon
o   Question: Jamie – are we getting new copy machines? (Hope to have installed by end of October)

Area updates:
·         Academic Labs: Terri Jackson
o   Batteries- send list of batteries (quantity and type) to Terry by Monday; they’ll be picked up following Monday; Founders 2189 (call first); next pickup will be December – Terry will *not* hold on to them until then.

·         Business and Accounting Office: Nobody present

·         Career Services: Nobody present

·         Child development Center: Mary Miller
o   Annual children’s show on Friday Reese Center 10 am
o   They have preschool and limited toddler openings

·         COTC Gateway: Tara Houdeshell
o   New staff, Mary Fox; they’ve been very busy; former AmeriCorps Vista, Katie Rappaport, introduced new AmeriCorps Vista, Jen Anthony.
o   Now at the new Pataskala campus
o   Hiring new people

·         Development Office: Laura Walsh
o   We will receive an email re: COTC Transitions Award nomination form; recognizes a COTC faculty or staff member who is also a COTC alum; can also be found on the Alumni Page, from the COTC page (http://www.cotc.edu/alumni/alumni-awards/Pages/index.aspx).

·         Dining services: Nobody present

·         Information Technology Services: Howard Imhof
o   Introduced new staff:
§   Dale Main , classroom support specialist, who came from Knox campus;
§   Jason Kruder , was PC technicians and is now the new asset manager;
§   About to rollout standard wallpaper for computers – cost-shared wallpaper;
o   Kasia Wilson: they buy toner for labs, classrooms and communal printers; offices buy printer toner from Staples;
o   Jeff Crabtree
§   All computers being refreshed will get Windows 7 (not XP); MS is ceasing support of XP; they’ve been testing Windows 7 for months; some areas already have it. More classrooms will be refreshed before quarter begins (in LeFevre
§   When new staff/faculty start, IT needs more detailed information in order to set proper securities; will soon be utilizing a tool that will streamline information/delivery process.
§   Terri asked about Office 10 (no plans yet – Tim Deaver)
o   Tim Deaver:
§   Phone numbers - getting more structured re: extensions for new employees;
§   Steve Veyon is the new PC network administrator;
§   “Patch Tuesday” critical patches will be “forced down,” others made available for campus PC’s to go out and fetch when they can.
·         Library: Tauni Graham
o   Reminder about display
o   Getting lots of calls for other offices, mostly admissions
o   Web page –there will be an informational brochure on how to use OhioLink.

·         Marketing & PR: Suzanne Bressoud – no updates

·         OSU Admissions & Advising: Gayle Gambs
o   On target to meet projections – 2,600 students in the fall
o   Will admit until the start of the quarter
o   Still doing orientations, very busy

·         Purchasing: Nobody present

·         Safety & Security: Charlene Santee
o   Busy issuing ID’s and parking passes
o   Staff parking passes will be available in next couple of weeks.

·         Services Center: Sue Bidwell (see above)

·         Staff Development: Candice Sheradin
o   Scavenger hunt – please send suggestions for the list to Tauni Graham or Candice Sheradin
o   Grab & Go Breakfast – Monday before classes start; Sept. 20, 7:30 am – 10 am.
o   Start thinking about door decorating for December

·         Student Life: Connie Zang
o   Derek Thatcher back from vacation
o   Introduced DeeDee Fetters, new mental health counselor – she was working @ time of Staff Forum but will be at fall luncheon
o   Gearing up for new quarter – lots of new activities, convocation, resident life, training new RA’s, etc.
o   New faculty & staff diversity program – different from what we’ve done in the past. Info forthcoming
o   Disability services – very busy, lots of students, keep referrals coming
o   Still working on new policies and procedures (re: referrals)
o   Convocation speaker will be Chief Glenna Wallace (details will be available on the OSU web page soon)
o   Italy trip people will present at the September COTC board meeting; will do another public presentation.
