Staff Forum Minutes for August 13, 2009

• Corri noted the reusable agendas that will be on the tables each time. The front has the monthly agenda items and the back has the schedule of hosts.
• The bookstore has generously offered to provide the prizes for the trivia question/drawing for each meeting.
• We would like to have representation of every department on campus at Staff Forum. There will be a drawing for a food-related party for the department with the best attendance.
• We will like to focus on health-related topics this year.

Introductions:

Monthly Hosts- ITS and Services Center

Services Center- Sue Bidwell
• Introduced Mary Kay Yaus who is normally at the front window and Rhonda Carter does most of the copying.
• Sue asks that if you have large jobs, send them in as soon as possible.
• The new Kodak is coming soon. It is a “green” copier that uses less electricity. The Services center is trying to stay green as well by using recycled paper. Our campus is the first customer to have this new type of copier. The services center is always here to help you and they can be reached at extension 213.

ITS: Corri Edwards
• Jeff Crabtree is the new manager of IT Support Services. Kelly Kirkpatrick is the new “Linda Graves” as the Database Programmer and is working with Constanza Sands. Kasia Wilson is the Technical Services Coordinator, Tim Deaver introduced himself as “the network guy”. Joe Snow, Terry Gill, Julie Ketner, and Corri Edwards work in the telCenter.
• Jeff announced that he is now in an assessment phase for the Help Desk. He announced that campus staff should feel free to call him with comments about how things have worked before and/or ideas for improvement.
• The quarterly computer refresh is coming up.

Employee updates: Sherry Abbott (please see document at the end of the minutes)
• The 2009 Faculty Staff Health and Benefits Festival will be in October.
• The Ergonomics Workshop will be August 27 in H64 at 11:30. Bring your lunch.

New Business:
• Management Changes in Campus Dining: Katie O’Neill
o Forrest Shirkey is no longer with the Table of Contents. They are very sad to see him go. Joe DePaolo is managing the catering concerns. If you have catering needs they will still be able to be addressed.
o Rick Barnes is the interim manager. Feel free to email him with any questions or concerns about operations or catering, but please be sure to carbon-copy Katie and Joe.
o There will be a new operations manager sometime in the Fall.
o Feel free to contact Joe or Katie with any questions or concerns
o The new manager position will be posted on the OSU employment web site. The position will be split into two full time positions; Operations Manager and Sous Chef.
• Program Assistant in OSUN Math Center: Rose Hart
o A Program Assistant in the OSUN Math Center has been hired- Sudha Kolathu Parambil will begin in the fall. She comes to us from Columbus State and OSU Columbus and has won teaching awards.
• Web Redesign/CMS Project Status: Corri Edwards
o OSU migration July 29-August 14
o COTC migration August 12- September 4.
o If you need any assistant call Nicole Criner

Area Updates:

Career Services: No representative present
• Corri noted that they are in the process of hiring a new Customer Service Representative.

Development Office: Laura Walsh
• Beautiful new painting in the Warner Center was donated by Karsten and Dorothy Adison.

Facilities/Project Manager: No department representative present.

Human Resources: Sherry Abbott
• See announcement from the beginning of the meeting.

ITS: Tim Deaver
• Showed attendees how to know when you need a virus update.
• There will be a new MCSS (minimum computer safety standards) program.
• Safe Connect- assess machine before connecting to internet. It checks for antivirus and firewall.
• Safety Key- will make sure authentication is through Newark Campus network. If your machine is not on the network, you will see a Safe Connect screen. Simply log in with your normal user name and password.
• Phishing Attempts- there are a lot of phishing attempts. This week there were over 300 accounts hijacked. IT will never ask for your user name and password. When an account is hijacked, it is then used to send out spam to the world. Consequently, servers all over block all OSU emails.
• Dialing plan
o Currently, 3-digit extensions are used, but the campus will be moving to 5-digit extensions.
o Under the current system, there are only 43 numbers left until we run out of extensions.
o You won’t lose your current extension, there will simply be some new numbers added to it.
• Question was asked about cell phone reception in the buildings. Unfortunately, cell phone reception is limited in all buildings.
• Question was asked about guest account logons- Joe Snow has lecture accounts for podiums in classrooms. The new Safe Connect software will not affect that.

Marketing: Alice Hutzel-Bateson
• Reminder- Marketing will work with you to redesign your department brochures if you are updating it. Email Alice and carbon copy Jasmin.
• Suzanne Bressoud has been promoted to Assistant Director of Marketing and PR.
• All full-time employees will be invited to the Welcome Back Luncheon on Wednesday, September 16, 11:30-1:00 in the Reese Center.

Safety and Security: Norm Holmes
• Staff Parking permits are not available yet, but have been ordered. Don’t worry about expiration dates of tags here on this campus.
• ATM machine is now located in Warner.
• Blood Pressure machine now in the alcove in Hopewell hall.
• Antibiotic stations are now all over campus. Doug Warthen along with Housekeeping coordinated this program.

Staff Development: Marilyn Lees
• Employee of the quarter nominations are due soon.
• Annual ‘Get Started Grab ‘n Go’ breakfast’ will be September 21, 8-9:30 am in WC 126.
• The much awaited scavenger hunt list was distributed. It will be emailed to everyone this year.
• The scavenger hunt will be Thursday, August 20th.

Student Life/Community Services: Casey Ray
• Campus Commitment will be on September 21 1:00-4:00. If anyone is interested in being a team leader or volunteer, please contact Casey before September 15.

The Table of Contents: Joe Dipaolo and Katie O’Neill
• Please cc Joe and Katie and Rick if you email anyone from that department. This will help with communication.

Open Forum/Discussion:
• The 5 new classrooms in Founders will be available this fall.
• Newark Campus Staff Forum Web Page is available to see. We won’t be emailing out Word documents of the minutes any longer. They will be available for download from the web site and to view on the blog.

Trivia Question:
The Services Center announced at the last meeting that they are getting a new Kodak copy machine. When will copy machine services be unavailable for installation of the new machine?
